Minutes of the 311th Meeting – 18th May 2019
The Captain Martin Middleton, asked those present to be up standing for the Loyal Toast. Gentlemen archers, who had shot the bow with the Captain in the morning, were asked to remain standing whilst guests retired from the room.
The Captain then proposed the toasts to The Society and The Arrow, The Captain and Lieutenant Elect and absent friends.
The Lieutenant, Dale Message, read the minutes of the 310th meeting. These were accepted as a true record, with the Captain duly signing the Record Book.
Apologies for absence were received beforehand from S Perry, D Wilcock, G Tune and T West, K Richards and L Grant.
The following matters were discussed:
• Her Majesty, The Queen had been sent the White Rose and Loyal Message, but to date no reply has yet been received.
• The accounts for The Society presented. The current funds stand at £4,607.82, which is slightly down on the error corrected figure of £4,645.94, from 2018.
• The Clerk outlined the problems he was still experiencing obtaining administrator access to the Society website, to enable updating, but that he was optimistic this would be resolved in the next few months.
• The Clerk pointed out that an error existed in the accounts as presented, and that they should show a balance of £4645.94, which is £30 greater than shown.
• Questions were asked about any financial policy the Society may have relating to levels of funds held. The Clerk explained there was no formal financial policy. The Society pays for the cost of the Calligraphy in the Record Book and the cost of insurance for the day, and that the proceeds of the 2 raffles held over recent years, has covered these costs with a slight surplus resulting.
• The Clerk reported he had not received any correspondence relevant to the meeting.
• He did ask if the Gentlemen present thought the present shooting start time of 10:30am was still appropriate. Everyone agreed 10:30 was still acceptable.
• Nobody present responded to being asked if they had any urgent matters they wished to be discussed.
• The Captain, Martin Middleton asked for approval to present the contents of the “Swear Bag” to the Yorkshire Air Ambulance. This was unanimously approved by the Gentlemen present.
• The Captain elect and Lieutenant elect, were then presented with their Captain and Lieutenant brooches, by the Captain.
There being no further business the meeting was closed at 14.20.
